Accounting Software Selector

Pick an accounting software shortlist for Indian SMBs from how you actually keep books — cloud, desktop or mobile — plus stock, users and GST e-invoice pressure. Get 2–3 named options (Vyapar, TallyPrime, Zoho Books, BUSY, MargBooks) with fit reasons. Compare GST e-invoice readiness, inventory, multi-user and mobile from public vendor docs dated for verify. Prices are “check site,” not guarantees.

Settle these before you pay for accounting software

  • Start with where entries happen: in a browser (Zoho Books, MargBooks), on a desktop (TallyPrime, BUSY) or on a phone at the counter (Vyapar).
  • Free can be enough for one or two people with simple invoices and no e-invoice duty: Vyapar’s free mobile plan, BUSY Express (no mobile app) or Zoho Books Free while yearly revenue stays under ₹25 lakh.
  • Listed starting prices on 23 Oct 2026, GST extra: Zoho Books Standard about ₹749 per organisation a month billed annually, TallyPrime Silver about ₹750 a month rental or ₹22,500 lifetime, BUSY Standard about ₹16,500, MargBooks from about ₹5,400 a year.
  • Desktop licences renew after year one (Tally TSS, BUSY BLS), so compare the first-year total, not the headline price.
  • TallyPrime Silver runs on one PC; Gold is for several users on an office network.
  • In the trial, post one invoice, a credit note, a bank line and a stock movement, then ask your CA to open the GST reports and test an export.
  • Switch mid-year only with your CA’s agreement: it can break GST reconciliations and the e-invoice series.

Choose accounting software around records, not brand ads

A useful selector asks where vouchers are entered, whether stock moves, who else needs access, and whether GST e-invoice is already mandatory for your turnover. Cloud tools help remote CAs and multi-city owners. Desktop tools still fit many shops that want LAN multi-user control. Mobile-first billing helps when the counter lives on a phone.

Cloud vs desktop vs mobile (honest trade-offs)

Cloud (Zoho Books, MargBooks): log in from browser/apps, easier accountant portals, subscription pricing. Needs reliable internet and clear export habits.
Desktop (TallyPrime, BUSY, Marg ERP family): familiar to many Indian CAs, strong local inventory workflows; multi-user often means LAN or dealer setup; renewals (TSS/BLS) matter after year one.
Mobile-first (Vyapar): fastest path for sole traders who bill on the phone; confirm desktop sync, e-invoice edition and backup before you outgrow free.

When free Marg / Vyapar-class tools are enough

If you are one or two people, invoices are simple, e-invoice is not mandatory yet, and you prefer lean spend, start with Vyapar’s free mobile plan, BUSY Express (free, no mobile on that row), or Zoho Books Free while under the marketed revenue threshold. MargBooks markets free trial / demo language — treat paid cloud plans as the real path after trial. Upgrade when stock, multi-user, e-invoice or CA reporting breaks the free edition.

Talk to your CA before you migrate

Changing software mid-year can break GST reconciliations, opening balances and e-invoice series. Ask your CA which reports they need, how they will log in or import, and whether your turnover already requires e-invoice. Use our GST calculator for rough tax maths — it does not replace filing software or professional advice.

Useful checks before you act on the result

  • Enter one sales invoice, expense, partial payment, bank line and (if needed) stock movement.
  • Export or backup a company file; confirm a second person or your CA can open reports.
  • Confirm e-invoice / e-way path and any TSS, BLS or add-on cost.
  • Compare first-year total: licence or subscription + GST + implementation — not only the listed price.

Accounting software selector FAQ

TallyPrime vs Zoho Books — which should an Indian SMB pick?

Neither is automatically better. TallyPrime is desktop-first, CA-familiar, with Silver single-user and Gold LAN multi-user licences plus TSS renewals. Zoho Books is cloud-first with a Free plan under a marketed revenue threshold and paid per-organisation plans from roughly ₹749/mo annual on public pricing. Choose Tally when your team and CA already work in desktop vouchers and LAN multi-user. Choose Zoho when remote access, accountant portal and browser workflows matter more. Shortlist both, run one real week of vouchers, and verify e-invoice plus GST at checkout. ScaleSaathi is not a Tally Partner.

When is free Marg or Vyapar-class software enough?

Enough when volume is low, one or two people enter books, stock is simple or absent, and e-invoice is not mandatory. Vyapar markets a lifetime free mobile plan for basics. BUSY Express is marketed as 100% free billing (no mobile on Express). Zoho Books Free stays free under the marketed FY revenue threshold. MargBooks “free” language is usually trial/demo — verify paid plans after the trial. Move up when multi-user, warehouses, e-invoice or CA reporting needs break the free edition.

Does TallyPrime support GST e-invoicing?

Tally’s public buy and product pages list e-invoicing and e-way bills among features, typically with connected services / TSS. Confirm the exact edition, active TSS and your IRN workflow with your CA — do not assume every install is production-ready without a trial push to the IRP.

Is Zoho Books free for Indian businesses?

Zoho markets a Free Plan for solopreneurs and micro businesses, with public FAQ text about availability while FY revenue stays under a ₹25 lakh threshold (verify current limits and invoice caps). Paid Standard starts around ₹749 per organisation per month billed annually on the India pricing page — GST extra. Free is not “all features forever.”

BUSY Express vs paid Standard — what’s the difference?

On busy.in/pricing, Express is marketed as 100% free billing and accounting with no mobile app. Standard is the complete GST tier on the public page (about ₹16,500 list for single-user, with auto e-invoice/e-way called out with asterisks). Confirm multi-user prices, BLS renewals and mobile app inclusion before buying.

Cloud or desktop for a shop with stock?

If billing happens at a counter PC and your CA expects Tally/BUSY files, desktop-first often fits. If owners travel, multiple locations need the same books, or your CA prefers a browser login, cloud (Zoho Books or MargBooks) may fit better. Inventory quality depends on process discipline more than the logo — trial your real SKUs.

What should I verify in an accounting software trial?

Post one invoice, one credit note, one bank reconciliation line, one stock issue (if any), and open the GST reports your CA files. Try an export/backup. Check a second user or accountant login. Confirm e-invoice generation if required. Add first-year TSS/BLS/subscription GST before you compare “cheap” listed prices.

Is this tool tax or accounting advice?

No. It is a rule-based shortlist from your answers using public vendor pages dated in Sources. It is not a quotation, partnership claim, lab review or substitute for a Chartered Accountant. Verify features and India pricing with the vendor and your CA.
