What a salary slip must show
Under section 50(3) of the Code on Wages, 2019, every employer must issue wage slips to employees in the prescribed form. The Labour Ministry’s handbook says to issue them on or before the day wages are paid. The Code came into force on 21 November 2025, replacing the Payment of Wages Act, 1936. The rules decide the exact form; these are the fields that belong on every slip, and where the generator handles them.
| Part | What to show | In this generator |
|---|---|---|
| Employer | Company name, address, logo; PF and ESI codes | Company section |
| Employee | Name, ID, designation, department, date of joining, PAN, UAN, ESI number, bank | Employee section (PAN and UAN checked, masking option) |
| Period | Salary month, days in period, LOP days, paid days, pay date | Pay period section; pay-date check against s.17 |
| Earnings | Each head separately: basic, DA, HRA, conveyance, special allowance, overtime, bonus | Add or remove rows; LOP pro-rating |
| Deductions | Each head separately: PF, ESI, professional tax, TDS, advances, loans | Auto PF, ESI and PT, TDS estimate, custom rows |
| Totals | Gross, total deductions, net pay, net pay in words | Calculated live; English, Hindi or both |
| Optional | Year-to-date totals; employer PF, EPS and ESI | YTD block; employer contributions line |

Worked example: a filled salary slip for October 2026
Priya works in Pune on ₹42,000 a month. October 2026 has 31 days, and she has 1 LOP day, so she is paid for 30 days. Each earning is multiplied by 30 ÷ 31. Click Fill sample to load this example into the generator.
| Earning | Full month | Paid (30 of 31 days) | Type |
|---|---|---|---|
| Basic | ₹20,000.00 | ₹19,354.84 | Wages |
| Dearness allowance | ₹2,000.00 | ₹1,935.48 | Wages |
| HRA | ₹9,000.00 | ₹8,709.68 | Allowance |
| Conveyance | ₹1,600.00 | ₹1,548.39 | Allowance |
| Special allowance | ₹9,400.00 | ₹9,096.77 | Allowance |
| Gross | ₹42,000.00 | ₹40,645.16 |
| Deduction | Amount |
|---|---|
| PF 12% of ₹21,290.32 (basic + DA, below the ₹25,000 ceiling) | ₹2,555 |
| ESI (gross above ₹21,000) | ₹0 |
| Professional tax, Maharashtra (woman), October | ₹200 |
| TDS (estimated yearly income ₹4,29,000 after standard deduction, so nil) | ₹0 |
| Salary advance recovery | ₹1,000 |
| Total deductions | ₹3,755 |
| Net pay | ₹36,890.16 |
Net pay in words: Rupees Thirty-Six Thousand Eight Hundred Ninety and Sixteen Paise Only. Basic + DA is 52.4% of remuneration, so the 50% rule adds nothing. The employer also pays EPS ₹1,773 (8.33%) and EPF ₹782 (3.67%). The slip can show this as a note without deducting it.
Deductions explained, with 2026 rates
Provident Fund (EPF)
The employee contributes 12% of PF wages (basic + DA + retaining allowance) and the employer contributes 12%: 8.33% to EPS and 3.67% to EPF. Specified establishments pay 10%. EPFO raised the statutory wage ceiling from ₹15,000 to ₹25,000 a month from 17 September 2026 (S.O. 5109(E)). For September 2026, 1 to 16 September uses ₹15,000 and 17 to 30 September uses ₹25,000, filed in one ECR. Choose “up to the ceiling” or “full PF wages” to match your company’s practice. You can also base PF on Code wages, which include the 50% add-back; ask your PF consultant which basis applies to you.
ESI
ESI covers employees whose gross wages are up to ₹21,000 a month (₹25,000 for a person with disability). The employee pays 0.75% and the employer 3.25%. At a daily average wage of ₹176 or less, the employee pays nothing. ESIC’s portal rounds the employee share up to the next rupee. Coverage runs by contribution period (April to September, October to March), so pick “Always” if pay crosses ₹21,000 mid-period.
Professional tax
Professional tax is a State tax, capped at ₹2,500 a year per person by Article 276(2) of the Constitution. We built in only the States whose official schedules we read:
| State | Monthly professional tax on gross salary | Source |
|---|---|---|
| Maharashtra (man) | Up to ₹7,500: nil; ₹7,501–10,000: ₹175; above ₹10,000: ₹200 (₹300 in February) | Maharashtra PT rate schedule, from 1 Apr 2023 |
| Maharashtra (woman) | Up to ₹25,000: nil; above: ₹200 (₹300 in February) | Same schedule |
| Karnataka | ₹25,000 and above: ₹200; below: nil. February: ₹300 (the official portal confirms this for February 2026; later Februaries are flagged for you to check) | Karnataka PT schedule (ptax.karnataka.gov.in) and portal notice citing Notification DPAL 08 SHASANA 2025 |
| Telangana | Up to ₹15,000: nil; ₹15,001–20,000: ₹150; above ₹20,000: ₹200 | Telangana Tax on Professions Act, First Schedule |
| Nagaland | Under ₹4,000: nil, then ₹35, ₹75, ₹110, ₹180; ₹12,000 or more: ₹208 | Nagaland PT portal schedule |
| Other States | Type the monthly amount from your State’s schedule | Not built in: we could not confirm them on official sites |
Tamil Nadu and Kerala collect it half-yearly through local bodies, and Madhya Pradesh uses annual slabs. For these, choose “Other State” and type the amount for the month it is deducted.
Income tax (TDS)
From 1 April 2026 the Income-tax Act, 2025 applies. Salary TDS falls under section 392, and the annual certificate is Form 130 (it replaces Form 16). Under the new regime for tax year 2026-27, income up to ₹4,00,000 is tax-free, then 5%, 10%, 15%, 20% and 25% bands of ₹4 lakh each, and 30% above ₹24,00,000. The standard deduction is ₹75,000 (₹50,000 in the old regime). The section 156 rebate makes tax nil up to ₹12,00,000 of income, with marginal relief just above that. Cess is 4%. The Estimate button uses these rules on 12 months’ pay. It leaves out other income, declarations, the old regime and any surcharge above ₹50 lakh, so use your employer’s figure when you have it. For a full take-home breakdown, use our salary calculator.
The Code on Wages 50% rule
Section 2(y) defines wages as basic pay, dearness allowance and retaining allowance. It leaves out HRA, conveyance, overtime, commission, bonus, the employer’s PF and other listed items. If those left-out items are more than half of total remuneration, the excess is added back to wages. The Labour Ministry says this single definition applies across all four Labour Codes. It affects statutory amounts such as gratuity: basic ₹15,000 and allowances ₹35,000 make ₹50,000; half is ₹25,000, so ₹10,000 is added back and wages for these purposes are ₹25,000. The generator shows this check under Deductions; see the effect on gratuity with our gratuity calculator.
Checks the generator runs
- Deductions above 50% of earnings (Code on Wages s.18(3) caps authorised deductions at 50% of wages in a wage period).
- Pay date later than the 7th of the next month (s.17(1)(iv) for monthly wage periods).
- Gross above the ESI ceiling, the ₹176 daily-wage exemption, and the September 2026 PF ceiling change.
- PAN and UAN format, and a professional tax figure above the ₹2,500 yearly limit.

A ₹1,25,000 salary slip, line by line
The October example above is for a modest salary. Here is a larger one, where the PF ceiling matters and TDS is no longer nil. Rahul is a senior engineer at a 40-person firm in Bengaluru. He is on the new tax regime, has no other income and no loss of pay in November 2026, and his salary is the same all year.
| Earnings | Amount | Deductions | Amount |
|---|---|---|---|
| Basic | ₹50,000 | PF (12% of the ₹25,000 ceiling) | ₹3,000 |
| HRA | ₹25,000 | Professional tax, Karnataka | ₹200 |
| Special allowance | ₹50,000 | TDS (new regime) | ₹8,125 |
| Gross | ₹1,25,000 | Total deductions | ₹11,325 |
| Net pay | ₹1,13,675 | ||
How the bigger numbers come out:
- PF. Basic is ₹50,000, but this employer deducts PF only up to the wage ceiling, which the PIB release on the EPF wage ceiling says rose from ₹15,000 to ₹25,000 a month from 17 September 2026. 12% of ₹25,000 is ₹3,000. On full basic it would be ₹6,000.
- The 50% rule. HRA is on the exclusion list in section 2(y) of the Code on Wages, 2019, but a fixed special allowance paid every month is not, so it counts as wages. The excluded part is ₹25,000, a fifth of pay, well under half, so nothing is added back. Wages for labour-code purposes are ₹1,00,000. If the excluded items had been more than ₹62,500, the excess would be added back.
- TDS. ₹15,00,000 a year minus the ₹75,000 standard deduction is ₹14,25,000. On the new-regime slabs, unchanged in Budget 2026, tax is ₹20,000 (₹4 lakh to ₹8 lakh at 5%) + ₹40,000 (₹8 lakh to ₹12 lakh at 10%) + ₹33,750 (₹12 lakh to ₹14.25 lakh at 15%) = ₹93,750. With 4% cess it is ₹97,500, or ₹8,125 a month. The rebate that makes tax nil up to ₹12 lakh does not apply at this income. Professional tax gives no deduction under the new regime.

Before you hand a slip to an employee
- Paid days and LOP days add up to the days in the month.
- PF and ESI match the ECR and challan you filed for the month.
- Professional tax is for the state where the employee works, not where the head office is.
- TDS matches your payroll workings, under the regime the employee chose.
- Net pay in words matches net pay in figures.
- PAN, UAN and bank account number are correct, or masked if the slip will be shared outside.
Mistakes that make a slip useless to the employee
- Net pay that does not match the bank credit. Lenders compare the two first. If you paid a reimbursement separately, show it as a separate line.
- PF shown on the slip but not deposited. Employees can see this in their EPFO passbook, and it is a serious default by the employer.
- One consolidated figure with no break-up. It tells the employee nothing, and lenders and PF inspectors both want the break-up.
- Backdated slips for a loan. A slip for pay that was never paid that way is a false document, not paperwork.
- Old law on the template. From tax year 2026-27, salary TDS is under section 392 of the Income-tax Act, 2025 and the annual certificate is Form 130, which replaces Form 16. Templates that still say section 192 need updating.

Frequently asked questions
How do I make a salary slip online for free?
Enter the company name and logo, the employee’s details, the salary month and any loss of pay (LOP) days, then the monthly earnings (basic, DA, HRA and others). Choose the PF, ESI and professional tax options, add TDS or other deductions, and check the live preview. It shows gross pay, deductions, net pay and net pay in words. Click Print / Save as PDF to keep or share the slip. No sign-up is needed.
Is a salary slip mandatory in India?
Yes. Section 50(3) of the Code on Wages, 2019 says every employer shall issue wage slips to employees in the form and manner prescribed. The Labour Ministry’s compliance handbook says wage slips must be issued on or before the payment of wages. The Code applies from 21 November 2025. Section 50(4) exempts an employer only to the extent of not more than five persons employed for agriculture or domestic purposes.
What should a salary slip contain?
At minimum: employer name and address, employee name, ID and designation, the wage month, days in the period, LOP and paid days, each earning shown separately, gross earnings, each deduction shown separately (PF, ESI, professional tax, TDS, advances), total deductions, net pay and the pay date. PAN, UAN, ESI number and bank details are commonly added. The exact wage slip form is set by the rules under the Code on Wages, so check the form that applies to your establishment.
What is the 50% rule in the new wage code?
Under section 2(y) of the Code on Wages, wages mean basic pay, dearness allowance and retaining allowance. If excluded items such as HRA, conveyance, overtime, commission and bonus are more than half of total remuneration, the excess is added back to wages. Example: basic ₹15,000 plus allowances ₹35,000 is ₹50,000; half is ₹25,000, so ₹10,000 is added back and wages are ₹25,000. The Labour Ministry’s FAQs say this single definition applies across all four Labour Codes. The generator shows this check under Deductions.
How is PF calculated on a salary slip?
The employee pays 12% of PF wages (basic + DA + retaining allowance) and the employer pays 12% too, of which 8.33% goes to the pension scheme (EPS) and 3.67% to EPF. EPFO raised the statutory wage ceiling from ₹15,000 to ₹25,000 a month from 17 September 2026 (S.O. 5109(E)). Many employers pay PF only on wages up to the ceiling; others pay on full wages. Pick either option. Certain establishments pay 10%.
What is the PF wage ceiling for September 2026?
September 2026 has two parts. EPFO’s FAQ says contributions for 1 to 16 September use the old ₹15,000 ceiling and from 17 September the new ₹25,000 ceiling, reported in a single ECR. The generator uses this day-wise split when the salary month is September 2026.
When is ESI deducted from salary?
ESI applies where gross wages are up to ₹21,000 a month (₹25,000 for a person with disability). The employee pays 0.75% and the employer 3.25% (rates from 1 July 2019, per ESIC). If the daily average wage is ₹176 or less, the employee pays nothing and the employer still pays its share. The ESIC portal rounds contributions up to the next rupee, and so does the generator. If an employee’s pay goes above ₹21,000 during a contribution period (April to September or October to March), choose “Always” to keep deducting ESI to the end of that period.
How much professional tax is deducted from salary?
It depends on the State, and the total cannot exceed ₹2,500 a year (Article 276(2) of the Constitution). The generator calculates it for States whose official schedules we checked: Maharashtra (separate slabs for men and women, ₹200 a month and ₹300 in February at the top slab), Karnataka (₹200 a month from ₹25,000; ₹300 for February, which the State portal confirms for February 2026), Telangana and Nagaland. For other States, choose “Other State” and type the amount from your State’s schedule.
How is TDS shown on a salary slip in 2026-27?
Under the Income-tax Act, 2025, which applies from 1 April 2026, the employer deducts tax on salary under section 392. Under the new regime for tax year 2026-27, income up to ₹4 lakh is tax-free; slabs then rise from 5% to 30% above ₹24 lakh. The standard deduction is ₹75,000, and the rebate makes tax nil up to ₹12 lakh of income, with marginal relief above that. Health and education cess is 4%. Enter your employer’s monthly TDS, or click Estimate for a rough figure: 12 months’ pay less ₹75,000, taxed at the new-regime rates, divided by 12.
How is loss of pay (LOP) calculated?
With the LOP option on, each earning is reduced to amount × paid days ÷ days in the period. Paid days are the days in the period less LOP days. The days in the period are the calendar days of the month unless you enter 26 or 30 to match your policy. Example: ₹42,000 a month, 31 days, 1 LOP day: ₹42,000 × 30 ÷ 31 = ₹40,645.16.
Can I make salary slips for several months at once?
Yes. Under Year to date and several months, choose up to 12 months. The generator prints one slip per month on separate A4 pages, with professional tax for February and the YTD totals carried forward. YTD resets in April, the start of the financial year. The Next month button moves the form one month ahead and carries the YTD forward.
Can I make a salary slip in Hindi?
Yes. Set Slip language to हिन्दी for Hindi headings and net pay in words in Hindi (for example शुद्ध वेतन for net pay), or to English + हिन्दी for a bilingual slip. The हिन्दी button at the top switches the form labels too.
Can I download the salary slip as PDF?
Yes. Click Print / Save as PDF and choose Save as PDF as the printer (on Android, choose Save as PDF; on iPhone, share the print preview to Files). The slip fits one A4 page. Your browser makes the PDF, so the data stays on your device.
Is my data safe? Do I need to sign up?
There is no sign-up and nothing is uploaded: the slip is built in your browser. If you tick “Remember my company details on this device”, the company details and logo are kept in this browser’s local storage only. Employee details and salary are saved only if you also tick the second box. Clear saved data removes them. You can show only the last 4 digits of PAN and account number on the slip.
Can an employee make their own salary slip with this tool?
A salary slip is the employer’s record of wages paid. Banks, landlords and visa offices rely on it as proof from the employer, so only the employer or someone it authorises should issue it. Employees can use the generator to check their own pay, PF and deductions, or to prepare a draft for the employer to sign. Never make a slip with figures that were not actually paid.
When must salary be paid under the Code on Wages?
Section 17(1) of the Code on Wages, 2019: for a monthly wage period, before the end of the seventh day of the following month. An employee who is removed, dismissed, retrenched or resigns must be paid within two working days. The generator warns you if the pay date is later than the 7th of the next month.
Which salary slips do banks ask for in a loan application?
Most lenders ask for your recent slips, often the last three months, along with bank statements that show the same net pay coming in. Many also ask for your latest annual TDS certificate (Form 130 from tax year 2026-27, Form 16 before that). Check your lender’s list, because it varies.
Does a computer-generated salary slip need a signature?
Slips from payroll software usually say they are computer-generated and need no signature, and most lenders accept them. A small business making slips by hand should sign and stamp them, because the person checking has no other way to confirm them.
What is the difference between a salary slip and a salary certificate?
A salary slip covers one month: what was earned, what was deducted and what was paid. A salary certificate is a letter from the employer confirming your job and pay, usually asked for a visa, a rented flat or a loan. Lenders often want both.
How do I check that the PF on my slip has really been deposited?
Log in to the EPFO member passbook with your UAN and match each month’s employee share with your slip. If a month is missing for more than a couple of months, ask HR for the ECR and challan details.
Should the TDS on my slip be the same every month?
Not always. Payroll recalculates TDS when you submit investment proofs, get a raise or a bonus, or join mid-year with pay from a previous employer, so the monthly figure often goes up or down in the last quarter of the tax year.
