SaaS Cost Calculator

Plan your India SaaS / software subscription stack cost as a buyer — not a vendor pricing-strategy worksheet. Enter what the organisation pays for collaboration, CRM, accounting, AI and other tools, then see monthly, annual, per-employee and optional GST, plus subscriptions as a percent of revenue. One-click India presets fill example rupees you can edit. Estimates only — verify at checkout.

How to read your software bill

EnterMonthly totals for the whole organisation per category: five people at ₹270 each is ₹1,350.
GSTAdds 18% on the subtotal unless you mark costs as already tax-inclusive.
AnnualMonthly total × 12, so small subscriptions stop looking harmless.
RevenueOptional: shows your stack as a share of monthly revenue.
Every quarterExport the seat list and remove licences held by people who have left.
Before cancellingCheck exports and who owns each login.

Buyer-side stack cost — not SaaS pricing strategy

Most SaaS cost calculators help vendors set list prices, packaging and multi-year deals. Indian founders and ops leads need something else: a clear view of what the organisation already pays across collaboration, CRM, accounting, AI and the long tail of “other” tools — with seats, GST and renewal timing visible. ScaleSaathi’s calculator is deliberately buyer-side. Enter organisation-wide monthly rupees (paste from invoices if you can), pick an India preset to start, then read monthly, annual, per-employee and optional percent-of-revenue outputs before you add another card.

How the model works

  • Category lines are monthly organisation totals for collab/email, CRM, accounting, AI and other — not automatic seat multipliers. If five people pay ₹270 each for email, enter ₹1,350.
  • Employees drive the per-employee figures only.
  • GST planning adds 18% on the category subtotal when enabled, unless you mark costs as already tax-inclusive.
  • Annual = monthly total × 12 so small subscriptions stop looking harmless.
  • Optional revenue shows stack cost as a percent of monthly revenue when you enter a figure.
  • Presets fill dated example stacks for freelancer / 5-person services / retail. Every field stays editable. Sources are listed below.

Seat creep and duplicate tools

Software spend grows quietly when a departed employee still holds a seat, when two AI subscriptions solve the same drafting task, or when a CRM and a spreadsheet both “own” the pipeline. Use the seat-creep warning in the results as a quarterly review trigger: export a seat list, remove dormant licences, and ask whether Zoho One-class suites already overlap with a second collab or CRM purchase. For a named stack diagram with overlap warnings, continue in the Business Tool Stack Builder.

Useful checks before you act on the result

  • Replace preset rupees with invoice totals where possible.
  • Confirm whether each charge is monthly, annual or per user — and whether GST is already included.
  • Record owner, renewal month and export path for every paid tool.
  • Do not cancel a tool until exports and access ownership are checked.
  • Verify live pricing on official pages; promotions and annual discounts end.

SaaS cost calculator FAQ

Is this a SaaS pricing-strategy calculator or a buyer stack budget?

This is a buyer-side India stack cost calculator. You enter what your organisation already pays (or expects to pay) for collaboration, CRM, accounting, AI and other software. It is not a vendor tool for setting SaaS list prices, elasticity or multi-year packaging.

How do the India presets work?

One-click presets fill example monthly rupee totals for a freelancer, a five-person services team, or a retail/ops stack. They are dated planning estimates assembled from public Workspace, Zoho Books, Zoho CRM and AI consumer bands — not quotations. Edit every line and verify at checkout.

Does the total include GST?

Use Add 18 percent GST planning to add GST on the category subtotal, or mark Costs already include tax if your invoices are tax-inclusive. This is budget arithmetic, not tax advice. Confirm GSTIN treatment on each vendor invoice.

What is seat creep?

Seat creep is paying for licences nobody uses — departed staff, unused CRM seats, overlapping AI seats, or a second tool that duplicates email or chat. The results panel warns when your headcount or stack size makes a quarterly seat review worthwhile.

How should I use subscriptions as a percent of revenue?

Enter optional monthly revenue to see stack cost as a percent of revenue. There is no universal right percentage; freelancers and retail ops differ. Use it as a conversation starter with founders and finance, then decide which tools are essential versus experimental.

Why are Zoho and Google prices editable instead of locked?

List prices change, annual versus monthly billing differs, and your negotiated or free-tier status may not match a public page. ScaleSaathi keeps fields editable and labels presets as estimates. Links go to official pricing pages.

Should I annualise monthly tools?

Yes when comparing options. A small monthly fee becomes material across seats and years. The calculator shows monthly and annual totals side by side so renewals and cash timing are visible before you sign an annual commitment.

Are these numbers a quotation or a lab test?

No. They are editable planning estimates. ScaleSaathi Editorial does not invent vendor guarantees or claim lab tests of every product. Verify features, seats, GST and renewals at each provider checkout. Answers stay in your browser.
