Offer Letter Format for Indian Employers: Free Templates

A useful offer letter format states the employer, candidate, role, location, joining date, fixed pay, other compensation, conditions and acceptance deadline. The letter and salary annex should tell the same story: what is being offered, what remains conditional and how the candidate can accept.

Fill this online (free): write your offer letter online, then print or save PDF. Blank Word downloads stay below.

Below you will find a free editable Word template, a printable PDF, a fictional Indian example and an Excel compensation planner. Start with the Word letter; use Excel to check the figures, not as a substitute for the signed employment document.

Want to see the take-home pay for a CTC? Use our free salary calculator to check CTC to in-hand pay, PF, and old vs new tax regime.

Important: This is a general drafting resource, not a government-prescribed appointment letter or employer-specific legal advice. Have employment terms reviewed for your establishment, employee category and applicable jurisdiction before issuing them.

Excel compensation planner

Blank planner, filled example, instructions and an offer tracker. It separates fixed gross, employer-funded costs and variable pay. It does not calculate statutory deductions or take-home salary; for the monthly payslip, use our salary slip format.

No candidate details need to be submitted to use these downloads. Keep completed employment documents in your own controlled storage; do not upload private candidate records into public comments or an unrestricted shared folder.

Use the right file: Word for drafting, PDF for the reviewed version, Excel for calculations and tracking. You do not need HR software merely to send one carefully prepared offer.

Offer letter format or appointment letter: which do you need?

In a typical hiring workflow, an offer proposes the role and main terms before joining. Appointment documentation records the employment terms required for the person to start work. Zoho People, for example, supports offer and appointment letters as separate onboarding steps; that is a workflow example, not a legal rule for every employer. See its offer and appointment documentation. Once the candidate joins, use our appointment letter format to put the 16 particulars and the salary break-up in writing.

The heading alone does not decide legal effect. An accepted offer can have contractual consequences. Sections 7 and 10 of the Indian Contract Act, 1872 address acceptance and the conditions for an agreement to be a contract. Do not assume that every offer is non-binding or that a later appointment letter automatically cancels accepted terms.

Appointment-letter compliance is a separate check

Rule 6 of the Occupational Safety, Health and Working Conditions (Central) Rules, 2026 sets an appointment-letter format and requires issuance before employment within its applicable scope. A generic offer template should not be presented as that prescribed document. Confirm which central or state requirements apply to the establishment before onboarding. Read Rule 6 in the Gazette notification (PDF copy, page 143).

This page stays focused on the pre-joining offer letter format. It is not a complete employment agreement, a fixed-term contract, an apprenticeship agreement or a substitute for applicable appointment documentation.

Simple offer letter format you can copy

Replace every square-bracketed field. State real terms rather than leaving important matters to “company policy” without supplying the relevant policy. The Word offer letter format includes the compensation annex and acceptance space.

This offer letter format avoids automatic penalty clauses, sweeping non-competes and unsupported promises of net salary. Bespoke restrictions, bonds, relocation recovery, intellectual-property provisions and complex incentive terms need separate review rather than an extra sentence copied from the internet.

Filled Indian example: ₹40,000 monthly fixed gross

Our filled offer letter format uses Illustration Services and Sample Candidate. Both are fictional. The role is Operations Executive in Bengaluru, with a proposed start of 15 October 2026 and an acceptance date of 3 October 2026.

The example uses three months of probation and 30 days’ notice to demonstrate where those terms belong. These are not statutory defaults or recommendations for every employer. Replace them after checking the actual employment arrangement.

Fictional filled offer letter for an Operations Executive showing ₹40,000 monthly fixed gross salary
Preview of the downloadable fictional example. The employer and candidate are fictional; signatures are blank.

Fixed monthly earnings

Basic: ₹24,000
House rent allowance: ₹10,000
Other fixed allowance: ₹6,000

Monthly fixed gross: ₹40,000

Full-year fixed gross

₹40,000 × 12 months

₹4,80,000 annually

A full-year run rate, not automatically the amount payable in a partial first year.

Separate employer budget

Illustrative employer-funded costs: ₹24,000 annually
Conditional variable maximum: ₹36,000 annually

Maximum illustrative package: ₹5,40,000

The ₹24,000 is an arbitrary employer-cost budget for the example, not a PF, ESI or gratuity calculation. In a real offer, replace it with an approved itemised breakdown and include all applicable employer costs. The ₹36,000 is a conditional maximum, not guaranteed monthly salary.

Explain CTC, gross salary and take-home without confusion

Use explicit labels in an offer letter format with a salary breakup. “Package”, “salary” and “CTC” should not be used interchangeably when they refer to different totals.

Fixed gross salary is the agreed fixed earnings before employee-side deductions. Cost to company (CTC) is the employer-cost total defined in the offer’s annex; it may include costs the employee does not receive as cash. Take-home pay is the amount remaining after applicable payroll deductions. Do not promise it from the CTC figure alone.

Example separates ₹4,80,000 fixed annual gross, ₹24,000 employer costs and up to ₹36,000 variable pay
Illustrative arithmetic only. The maximum package is ₹5,40,000; fixed monthly gross is ₹40,000. Statutory amounts are not calculated.

For this example, the arithmetic is:

₹4,80,000 fixed annual gross
+ ₹24,000 illustrative employer-funded costs
= ₹5,04,000 fixed employer-cost subtotal
+ up to ₹36,000 conditional variable pay
= ₹5,40,000 maximum illustrative annual package

Dividing ₹5,40,000 by 12 gives ₹45,000, but that does not make this offer a ₹45,000 monthly fixed-salary offer. Its fixed monthly gross is ₹40,000, and its take-home amount has not been calculated.

For variable pay, state eligibility, assessment period, measurable conditions, payout timing and treatment on exit. List a joining bonus separately, including any reviewed repayment conditions. For benefits, distinguish a fixed entitlement from a reimbursement cap or an indicative insurance cost.

The Excel planner performs arithmetic on your inputs only. It does not decide the lawful wage structure, minimum wages, social-security coverage, tax deductions or first-year proration. A neat total is not a compliance check.

Offer letter format: eight details to settle before sending

1. Employer and authority

Use the actual employing entity, not merely a group brand. Include an official contact and an authorised sender. Keep the same name in the annex and onboarding records.

2. Role and employment type

Name the job, department, reporting role and broad duties. Define the actual arrangement; do not call an employee a consultant merely because a different template is convenient.

3. Location and working pattern

Specify on-site, remote or hybrid work, base location, schedule and any agreed travel. For remote roles, record equipment ownership, expense approval and the permitted work location.

4. Joining and acceptance dates

Give both dates and identify the time zone where needed. Confirm that an experienced hire can meet the joining date. Document an extension rather than relying on a verbal change.

5. Pay and benefits

Match the letter to the annex. Label fixed gross, employer costs, variable pay and one-time amounts separately. Share a clear benefits description instead of an unexplained CTC.

6. Probation and notice

Specify the reviewed terms for the role and applicable jurisdiction, including confirmation and exit procedure. Do not assume that three months or 30 days is a universal legal rule. When the notice period ends, issue a relieving letter on the last working day.

7. Conditions and policies

List genuine pre-joining conditions, completion dates and the contact handling them. Supply the policies the candidate is being asked to accept. Avoid undisclosed conditions added after acceptance.

8. Acceptance and records

Identify the precise version and annex being accepted. Provide signature or an agreed acceptance route. Keep a record of the response and the employer’s acknowledgement.

All of these are drafting checks. Applicable law may require additional information or different treatment. A generic offer letter format cannot determine the correct working-hours, leave, notice or benefit rules for every establishment.

Adapt the offer letter format for different hires

Fresher offer letter

Keep the role, first-day reporting, training arrangements, pay and probation understandable to someone new to employment. Do not automatically add a training bond or recovery amount. Put necessary qualification checks and their deadlines in writing.

Experienced employee offer letter

Check the realistic joining date and specify any joining bonus, relocation support or deferred incentive separately. Do not describe a proposed joining date as confirmed until both sides have agreed it.

Remote or hybrid role

Add the approved base location, office-attendance expectations, equipment, expense reimbursement and information-security arrangements. “Work from anywhere” is too broad when the employer actually means work from one approved Indian location.

Internship, fixed-term or contractor arrangement

Do not reuse a permanent-employee letter unchanged. A fixed-term role needs a clear term and relevant employment conditions; an internship needs its learning and payment arrangements; independent services need an appropriately reviewed service agreement. Classification and statutory treatment require more than changing the document title.

How to send, accept and revise an offer letter

Offer letter workflow: approve terms, check the annex, send the final version, record acceptance and complete appointment requirements
Keep the exact approved offer, annex and response together. Acceptance and appointment documentation are separate steps.

Keep the process short but traceable: approve the terms, prepare the final letter and annex, send them through a verified channel, record the actual acceptance, then complete appointment and onboarding requirements.

Employer email

Subject: Offer of employment — [Job title] — [Reference]

Dear [Candidate name],

Please find attached offer [reference / date] and Annexure A for [Job title]. Please review the complete terms and return your acceptance through [method] by [deadline]. The proposed joining date is [date]. For clarification, contact [official contact]. We will acknowledge receipt and share the next onboarding steps.

Regards,
[Authorised sender and designation]

Candidate acceptance email

Subject: Acceptance — [Job title], offer [reference / date]

Dear [HR contact],

I accept the terms in offer [reference / date] and the attached compensation annex. I confirm my agreed joining date as [date]. The requested acceptance document is attached. Please acknowledge receipt and share the next onboarding steps.

Regards,
[Candidate name]

When the candidate is still negotiating pay, location or dates, use a clarification email instead of the acceptance wording above. Keep each revised offer version clearly identified, obtain agreement on the revised terms and do not silently replace an accepted annex.

Electronic communication is not automatically invalid. Section 10A of the Information Technology Act, 2000 says a contract is not unenforceable solely because electronic means were used in its formation. That does not mean every emailed name is a recognised digital signature or settles all validity and evidence questions. Follow the agreed acceptance process and applicable requirements.

Avoid these offer-letter mistakes

A single unexplained CTC figure. Add the component breakdown and separate conditional amounts. Otherwise, the candidate may understand the package differently from the payroll team.

Open-ended withdrawal or penalty wording. Do not assume the phrase “conditional offer” permits withdrawal in every circumstance. Seek legal advice for an accepted offer, a disputed condition, a bond or a recovery demand. The terms and facts matter.

A copied non-compete or “at will” clause. Section 27 of the Indian Contract Act restricts agreements in restraint of trade. Bespoke restrictions and their enforceability require legal review. Do not import a foreign employment clause and present it as a standard Indian rule.

Unnecessary sensitive identifiers. Keep full bank details, PAN, Aadhaar and identity-document copies out of general-purpose offer templates. Collect required onboarding records through an appropriately controlled process rather than a broadly circulated email thread.

A fake sense of authenticity. A logo, stamp or realistic signature image does not prove that an employer issued a letter. Candidates should verify the sender independently. The National Career Service warns about impersonation and states that its registration, application and employment-related services are free.

Relying on AI without review. AI can help simplify a sentence, but it should not invent a salary structure, statutory clause or verification policy. Remove confidential candidate information before using an unapproved tool. Our guide to choosing AI tools for a small business explains why human review and data controls matter.

When to use a template and when to use HR software

For a small number of hires, a reviewed offer letter format in Word, a compensation spreadsheet, an official mailbox and controlled storage may be enough. Standardise the document first. Automating an ambiguous offer only reproduces the ambiguity faster.

Consider an HR system when you need approval routing, many versions, controlled access, reminders, e-signature integration and an audit trail. Zoho People’s official onboarding documentation describes offer templates, salary packages, expiry dates and signing workflows; particular signing integrations and plans have requirements that should be checked before subscribing. This is a documented example, not a tested product recommendation.

For salary processing with PF, ESI and TDS, compare payroll software. To manage letters, records, attendance and leave in one place, compare HRMS software for small businesses.

Use our business-software selection guide to define the workflow before buying. For a team already juggling multiple tools, the lean business software stack guide helps keep ownership and records clear.

The final check: Can the candidate identify the role, fixed pay, conditional pay, joining date, work arrangement and acceptance method without guessing? Can the employer produce the approved terms and the actual response later? If not, fix the letter before sending it.

Frequently asked questions

What is the correct offer letter format for India?

Use the employer and candidate details, job and work arrangement, joining date, fixed pay and annex, relevant conditions, acceptance deadline and authorised signatory. Tailor employment terms to the establishment. This generic offer is not a prescribed statutory appointment-letter form.

Can I download the offer letter format in Word and PDF?

Yes. The Word file contains an editable blank letter, compensation annex, fictional example and checklist. The PDF contains the same packet for viewing and printing. Edit Word before producing your final signed version.

Why is an Excel file included?

Excel supports the compensation arithmetic and offer tracking. It is not the letter itself and does not calculate PF, ESI, gratuity, professional tax, income tax, net pay or legal compliance.

Is CTC the same as in-hand salary?

No. CTC is the employer-cost figure defined in the compensation annex. Fixed gross salary is before employee-side deductions. Take-home pay depends on the actual payroll and applicable deductions; it should not be promised by dividing CTC by 12.

Does accepting an offer letter make it binding?

It can have contractual consequences depending on its terms, acceptance and the facts. Do not assume all offers are non-binding. The Indian Contract Act addresses acceptance and contract formation; obtain legal advice for a specific dispute or withdrawal.

Can an offer be accepted by email?

Electronic formation is not, by itself, a reason a contract is unenforceable under section 10A of the Information Technology Act. Follow the stated acceptance method, preserve the complete version and response, and check any applicable signature requirements.

Is three months of probation or 30 days of notice compulsory?

The example uses those numbers only to show placement. They are not universal statutory defaults. Enter the reviewed terms applicable to the role, establishment, category and jurisdiction.

Can I use this as an appointment letter?

Not unchanged. Applicable appointment-letter requirements must be checked separately. Rule 6 of the OSH (Central) Rules, 2026 prescribes an appointment-letter format within its scope; this download is a general pre-joining offer.

Should an offer letter contain bank details or Aadhaar?

The general offer template does not need those fields. Collect any legally required onboarding information through a controlled process. Do not treat the fields of a separate prescribed appointment document as permission to publish personal identifiers widely.

Can this be used for interns and freelancers?

Not without adapting and reviewing the engagement. Internships, fixed-term employment and independent services differ. Choose the appropriate document and statutory treatment instead of only changing the heading of an employee offer.
