The practical answer
Buy an improved task, not an AI label
Most small businesses in India need only one to three AI tools: a general assistant (ChatGPT, Gemini or Claude), a design tool (Canva) and, if customers reach you on WhatsApp, an automated WhatsApp reply tool. Start with free plans, pick one repeated task, and pay only when the tool saves real time after you have checked its work. Keep Aadhaar, PAN, bank details and customer lists out of personal AI accounts.
I have brought these tools into shops, small agencies and CA offices, and the pattern repeats. The owner buys the tool everyone is talking about, two staff try it for a week, and by the second bill nobody opens it. The teams that keep using AI start from one boring, repeated job, give one person charge of it, and check the numbers after a month. This guide is that process, with Indian prices.
What to remember
- Start with a defined task such as replying to enquiries, drafting quotes, social posts or summarising documents.
- The cheapest paid plans are small: Google AI Plus is ₹399 a month and ChatGPT Go is ₹399 a month (GST included, as shown for India on OpenAI’s pricing data). Free plans are enough for many owners.
- AI may already be inside software you pay for: Microsoft 365 Personal and Family include Copilot, and Google’s AI plans add Gemini in Gmail and Docs.
- Do not enter confidential or personal customer data until you have checked the plan’s data and training settings. Business plans give more control than personal ones.
- Measure correction and checking time; a fast draft is not a saving if review takes longer.
- For a team, price per user: three staff on ChatGPT Business cost ₹6,750 a month plus GST on monthly billing.
- Run a 30-day pilot with a named owner before any yearly plan.
Prices seen 31 October 2026 on each company’s official pricing page. Some companies show Indian visitors rupee prices and others show US dollars; I give the currency the company shows, and say whether GST is included where the page says so. Where a rupee figure comes from a report rather than the company, the source and date are named next to it.

Which AI tool for which job, by budget
This table matches common small-business jobs to a free option and two paid budget bands. Prices are from official pages seen on 31 October 2026. “Incl. GST” means the official page or price list says GST is included; “before GST” means it says tax is extra; where the page does not say, check the total at checkout.

Two notes on the table. Google’s India page shows Google AI Plus at ₹399 and Google AI Pro at ₹1,950 a month but does not say whether GST is included, so confirm the total at checkout. Microsoft’s India page shows the Microsoft 365 prices in rupees without a GST note. Canva’s India page shows yearly prices; Canva’s pricing page lists Pro Lite at ₹1,590, Pro at ₹4,000 and Business at ₹6,800 a person. For every plan, the full price list is in our ChatGPT, Gemini and Claude price guide. Both ChatGPT Go and Google AI Plus cost ₹399 a month, so our ChatGPT vs Gemini comparison helps you decide between them by the work you do.
To price a set of tools for your team in rupees, try the AI subscription cost calculator.
Start with one to three tools, in this order
Buying five AI subscriptions on day one is the most common waste. Add tools one at a time, and only after the previous one is used every week.
| Business | Tool 1 (free first) | Tool 2 (when tool 1 is used weekly) | Tool 3 (only if needed) |
|---|---|---|---|
| Shop or D2C seller | WhatsApp Business app with quick replies | Canva Free, then Pro for catalogue and offer posts | ChatGPT Go or Google AI Plus for product descriptions in English and Hindi |
| Freelancer or consultant | ChatGPT, Gemini or Claude free plan for drafts and summaries | One paid assistant plan (Go/Plus, AI Plus/Pro or Claude Pro), not two | Canva for proposals and social posts |
| Services firm (5–20 people) | The AI already in your office suite (Copilot in Microsoft 365 or Gemini with Google) | A business AI plan with admin controls: ChatGPT Business or Claude Team | A WhatsApp API tool with an AI agent if enquiries arrive on WhatsApp |
Free or paid, and what a team pays per user
A free plan is enough while one person uses AI a few times a day for drafts. You outgrow it when you keep hitting the daily limit in the middle of work, when staff share one login, or when you need an admin who can remove a person who leaves. That last point matters more than features: a personal account that an ex-employee still holds is your business data walking out of the door.
Paid plans are priced per person. Personal plans such as ChatGPT Go or Google AI Plus are for one account each and have no admin console. Team plans add admin control and, on Claude Team and ChatGPT Business, no training on your content by default. Here is what that does to the bill.
| Plan | Price per user | 1 owner | 3 people | 10 people |
|---|---|---|---|---|
| ChatGPT Go (personal) | ₹399/month incl. GST | ₹399 | ₹1,197 (three separate accounts, no admin) | Not suited: no admin control |
| Google AI Plus (personal) | ₹399/month | ₹399 | ₹1,197 (three separate accounts) | Not suited: no admin control |
| ChatGPT Business | ₹2,250/month, or ₹1,800 billed yearly, plus 18% GST | — | ₹6,750 + GST (₹7,965) monthly; ₹5,400 + GST yearly | ₹22,500 + GST monthly; ₹18,000 + GST yearly |
| Claude Team (Standard seat) | US$25/month, or US$20 billed yearly | — | US$75 monthly; US$60 yearly | US$250 monthly; US$200 yearly |
| Microsoft 365 Personal | ₹689/month or ₹6,899/year, one person | ₹689 | Family plan or business plans instead | Business plans instead |

Not everyone needs a seat. In most teams I have worked with, two or three people use AI daily and the rest need it once a week. Pay for the daily users and let the others ask them, or use the free plan for non-sensitive work.
Three worked examples: a shop, an agency and an accountant
These are the set-ups I would start with today. The prices are the published ones above; your first month may cost less if you stay on free plans.
| Business | First task | Tools to start with | Monthly cost | Keep it if, after 30 days |
|---|---|---|---|---|
| Saree and dress shop, owner plus 2 staff, orders on WhatsApp | Replies to price and stock enquiries; festive offer posts | WhatsApp Business app quick replies (free); Canva Free; ChatGPT Go for Hindi and English captions | ₹399 | Replies go out faster and the owner spends less evening time on the phone |
| Digital agency, 5 people | First drafts of client posts and proposals | Canva Business for 5 (₹6,800 a person a year); ChatGPT Business for 3 heavy users | About ₹2,833 for Canva plus ₹6,750 + GST for ChatGPT on monthly billing | Drafts need fewer rounds and no client data sits in personal accounts |
| CA office, 4 people | Summarising notices and drafting client emails from masked data | AI tools for accountants; Zoho Books Standard ₹749 billed yearly if you also keep books; one paid assistant for the partner | From ₹399 plus your existing software | Every tax figure is still checked by a person and client identifiers never leave the office systems |
For the shop, the next step after a few hundred chats a month is often a WhatsApp chatbot; read our WhatsApp AI chatbot guide before you buy one, because Meta’s message charges come on top of the tool.
A 10-minute shortlist method
- Minute 1–2: Write down the one task that takes most of your week and could be drafted by AI, for example replying to price enquiries.
- Minute 3–4: Decide what data the task touches. If it includes customer names, phone numbers or invoices, you need a plan with business data controls (see the risk section below).
- Minute 5–6: Open the AI tool finder or the table above and keep two tools that fit the task and your budget band.
- Minute 7–8: Check what you already pay for. If you have Microsoft 365 or Google AI plans, test the AI inside them first.
- Minute 9–10: Run the same three real tasks in both free plans, time how long checking and fixing takes, and keep the one that needs less correction.
A decision framework
| Measure | How to test | Pass condition |
|---|---|---|
| Time | Compare five real tasks with the current method | A repeatable net time saving |
| Accuracy | Verify facts, calculations, GST figures and required details | Errors remain within the defined review process |
| Quality | Review outputs against a checklist | Useful improvement for the intended customer |
| Data risk | Classify prompts and connected information | Only approved data enters the tool |
| Adoption | Watch two staff use it for a week | People can follow the written process |
Run a 30-day pilot before you pay for a year
- Week 0: Write down the task, the person in charge, and how long it takes today. Time five real examples.
- Week 1: Use the free plan or the monthly plan, never yearly. Keep a short sheet of every output and how long checking took.
- Week 2: Add a second person. If they cannot follow your written steps, fix the steps before blaming the tool.
- Week 3: Test the hard cases: a Hindi or regional-language customer, an unusual order, a figure that must be exact.
- Week 4: Score it against the table above and decide: keep, change task, or cancel.
A simple return check: hours saved a month multiplied by what an hour of that person’s time costs you, compared with the subscription. If a staff member earning ₹25,000 a month for about 170 working hours saves four hours a month, that time is worth about ₹590, which covers a ₹399 plan. It does not cover a ₹2,250 seat; that seat needs to save about 15 hours. Count only time saved after checking.
Check Hindi and regional-language output yourself
All the big assistants accept Hindi, Tamil, Bengali and other Indian languages, but quality differs by language and by task. Google itself says Gemini inside Gmail and Docs is available in selected languages. In my experience the writing is usually fine for a social post and weaker for a formal reply with prices or terms. Give each tool the same ten real customer messages in your language and have a native speaker on your team mark the answers before any of them go to customers.
Common mistakes when choosing AI tools
- Buying yearly on day one to get the discount, then not using the tool after month two.
- Paying for two general assistants that do the same job, often ChatGPT Plus and Google AI Pro.
- Sharing one login across staff. Personal plans are meant for one person, and you lose control of the account and its history when someone leaves.
- Trusting tax figures. GST rates, HSN codes and due dates must be checked against the official source or your accountant.
- Forgetting the per-message bill on WhatsApp tools, which comes on top of the plan.
- Choosing by demo instead of by your own five real tasks.
The same rules work for any software you buy; our guides to choosing business software in India and building a lean tool stack go further.
Choose a narrow first task
AI products now combine writing, research, design, meeting, search and automation features. Comparing them as universal assistants produces vague conclusions. Pick one repeated task with a clear input and output, such as turning approved notes into a first draft, creating layout variations from final copy or classifying non-sensitive enquiries.
Avoid beginning with a high-stakes decision or a workflow that contains personal, confidential or regulated information. A low-risk pilot makes it easier to learn the tool’s failure patterns, define review responsibility and decide whether connecting business data is justified.
Once you have picked a task, the free AI prompt generator gives you a ready prompt for it.
Need a business email in a hurry? Try the free email writer for business, which needs no AI subscription.
Measure the complete work, including checking
Record the time required to write the request, review the result, check sources, correct errors and format the final output. Compare it with your current method across several representative tasks. AI assistants can state wrong GST rates, wrong HSN codes or made-up figures with confidence, so anything tax-related needs a human check against the official source or your accountant.
Business data and privacy: what not to put into AI
Anything you type or upload into an AI tool leaves your business. India’s Digital Personal Data Protection Act makes you responsible for how you handle customers’ personal data, including when you share it with a service provider. The DPDP Rules were notified on 13 November 2025, and most duties for businesses, such as notice, consent, security safeguards and breach reporting, apply from 13 May 2027. Practical rules for a small business:
- Never paste Aadhaar or PAN numbers, bank account or card details, passwords, OTPs, or a full customer list into any AI chat.
- Use initials or dummy names when you ask AI to draft a reply to a real customer, then add the real details yourself.
- Check the training setting. Claude’s pricing page lists model training as “Opt-out” on the Free and Pro plans, meaning your chats can be used unless you switch it off, and says Team plans have no model training on your content by default. ChatGPT and Google have similar settings; look under Settings, Data controls or Activity before you upload business files.
- Prefer a business plan for staff. ChatGPT Business and Claude Team give an owner admin control over who has access and let you remove a person who leaves. With personal accounts, the business has no control.
- Connect the minimum. If a tool asks to connect Gmail, Drive or your CRM, start with a test account or one folder.
- Write a one-page rule for staff: approved tools, approved tasks, data that is never allowed, and who checks the output.
For legal, tax or regulated data (health, finance, children), take advice from a qualified professional before using AI on it.
Avoid subscription overlap
List the AI already included in software you pay for. A separate writing, design and meeting subscription can overlap with features in an office suite or general assistant. Google AI Pro, for example, includes 5 TB of storage and Gemini in Gmail and Docs, and Microsoft 365 Personal includes Copilot in Word and Excel. Keep the smallest set that has a named owner and weekly use. A common overlap is paying for both Perplexity Pro and ChatGPT Plus; our Perplexity vs ChatGPT comparison shows which one to keep for your kind of work.
Before annual billing, set a monthly time-saving target and a review date. Cancel tools that are interesting but not part of a real process. To compare the full yearly cost, use the SaaS cost calculator.

Frequently asked questions
Which AI tool is best for a small business in India?
There is no single winner. For most owners, a free general assistant (ChatGPT, Gemini or Claude) plus Canva covers writing and design. Add a WhatsApp reply tool if customers message you there. Choose by your main task, data sensitivity and the time spent checking output, and test with real work before paying.
What is the cheapest paid AI plan in India?
On 31 October 2026, ChatGPT Go was ₹399 a month including GST, as shown for India on OpenAI’s pricing data and reported in our price guide, and Google AI Plus was ₹399 a month on Google’s India page (GST not stated). Both are cheaper than the ₹1,950–₹1,999 tier of Google AI Pro and ChatGPT Plus.
How many AI tools should a small business start with?
One to three. Start with one free assistant for one task, add a second tool only when the first is used every week, and avoid paying for two general assistants that do the same job.
Can employees put customer data into an AI tool?
Not by default. Classify the data first, use a business plan with admin controls, check whether chats are used for model training, and never paste Aadhaar, PAN, bank details or full customer lists. Seek specialist advice for sensitive or regulated information.
How do I know whether an AI subscription is worth paying for?
Measure net time saved after checking and correction, quality improvement, how often it is used and the risk involved. Compare that value with the full yearly cost, including GST where it applies.
Are free AI tools enough for a small business?
For one person drafting posts, emails and summaries a few times a day, often yes. Pay when you keep hitting usage limits, when several staff need access, or when you need admin control and business data settings.
How much does AI cost per employee in India?
From ₹399 a month for a personal plan such as ChatGPT Go or Google AI Plus. Team plans with admin control cost more: ChatGPT Business is ₹2,250 per user a month plus GST (₹1,800 billed yearly), as reported in our price guide, and Claude Team is US$25 a seat a month or US$20 billed yearly.
Can I use ChatGPT or Gemini with customer data under India’s DPDP law?
You stay responsible for customers’ personal data when you share it with a tool. The DPDP Rules were notified on 13 November 2025 and most business duties apply from 13 May 2027. Share only what a task needs, prefer business plans with admin and training controls, and take legal advice for regulated data.
Which AI tools work in Hindi and other Indian languages?
ChatGPT, Gemini and Claude all accept Hindi and other Indian languages on their free plans. Quality varies by language and task, so test ten real customer messages and have a native speaker check the answers.
How long should an AI pilot run?
About 30 days on a free or monthly plan, with one named owner, one task and a record of the time spent checking. Decide after that whether to keep it, change the task or cancel, and only then consider yearly billing.
What are the most common mistakes when choosing AI tools?
Paying yearly on day one, running two assistants that do the same job, sharing one login across staff, trusting AI with GST figures without checking, and forgetting per-message charges on WhatsApp tools.
