Most small teams I help in India end up paying for two or three AI subscriptions and using one. This finder starts from the other end: pick the task-first AI starting points for India SMB and freelancers — writing, research, design or organisation — then narrow by users, budget and data sensitivity. Every result is labelled free vs paid, carries human review required, and links to the official product page. Run the data-residency / client-confidentiality checklist before you paste client work, and verify at checkout: prices below are what the vendors showed on 31 October 2026.
Choosing an AI tool you will actually keep
- Pick the job first (writing, research, design or organising), then the brand.
- Give it two weeks: three real tasks, non-confidential samples, and a note of where you still rewrote everything.
- Never paste PAN, Aadhaar, payroll files, bank credentials or medical records into a public chatbot.
- Check whether your plan uses prompts for training, and switch it off where the vendor allows.
- The cheapest paid AI plans in India start at ₹399 a month (ChatGPT Go, Google AI Plus); Claude Pro is US$20 a month, or US$17 billed yearly.
- Every output needs a person to check facts, permissions and brand voice.
- Pay for one tool that proved itself, not three that overlap.

Task → realistic options (dated 31 Oct 2026)
Named starting points with official links. ₹ / USD bands only where public and dated — otherwise verify pricing. Free vs paid columns are plan availability, not quality scores.
| Task | Starting options | Free vs paid | Human review | Official link |
|---|---|---|---|---|
| Writing | ChatGPT, Claude, Google Gemini | Free tiers + paid (Go/Plus/Pro / Google AI Plus/Pro) | Required | ChatGPT · Claude · Gemini IN |
| Research | Perplexity, ChatGPT, Claude, Gemini | Free + Pro-class | Required (sources) | Perplexity |
| Design | Canva (+ chat drafts optional) | Free + Pro Lite/Pro/Business | Required (brand/legal) | Canva pricing |
| Organisation | Notion, Gemini in Google apps | Free + seat/AI plans | Required | Notion pricing |
Claude Pro is US$20/mo or US$17/mo billed yearly on Anthropic’s pricing page. Google’s India Gemini page lists AI Plus ₹399, AI Pro ₹1,950 and AI Ultra from ₹6,500/mo. Canva India lists Pro at ₹4,000 a year for one person. All seen 31 Oct 2026 — verify at checkout.
Choose the work before you choose the brand
AI tools are easiest to buy and hardest to use well when the starting question is “which chatbot is popular?” I have watched owners pay for ChatGPT, Gemini and Canva in the same month and then use only one. Start with the job: drafting customer replies, summarising meeting notes, cleaning spreadsheet columns, generating first-pass product descriptions, designing a social set, or organising a freelancer wiki. A clear job makes it obvious whether you need a general assistant, a research aid, a design tool, or something that plugs into notes and Google apps.
This finder is a narrowing aid. It does not replace a trial on your own (non-confidential) samples, a security review, or a comparison of current plan limits. For deeper write-ups, use the choose AI tools for small business guide after you have a shortlist. If you are stuck between the big three assistants, read ChatGPT vs Claude and ChatGPT vs Gemini side by side.
What the main AI plans cost in India
The table shows what each vendor’s own page showed on 31 October 2026. Rupee prices are as the vendor shows them; dollar prices are left in dollars because the final rupee charge depends on your card, GST and the app store. For the full breakdown, see our ChatGPT, Gemini and Claude price guide for India.
| Tool | Free plan | Entry paid plan | Higher plans | Seen |
|---|---|---|---|---|
| ChatGPT | Yes | Go ₹399/mo; Plus ₹1,999/mo (incl. GST) | Pro; Business ₹1,800/seat/mo yearly + GST | 30 Oct 2026, as reported in our price guide |
| Claude | Yes | Pro US$20/mo, or US$17/mo billed yearly | Max from US$100/mo; Team from US$20/seat/mo yearly | 31 Oct 2026, Anthropic |
| Google Gemini | ₹0 | Google AI Plus ₹399/mo | AI Pro ₹1,950/mo; AI Ultra from ₹6,500/mo | 31 Oct 2026, Google India |
| Microsoft 365 + Copilot | Copilot app | Personal ₹689/mo or ₹6,899/yr | Premium ₹1,999/mo or ₹19,999/yr | 31 Oct 2026, Microsoft India |
| Perplexity | Yes | Pro US$17/mo billed yearly | Max US$167/mo billed yearly | 31 Oct 2026, Perplexity |
| Canva | ₹0 | Pro Lite ₹1,590/yr; Pro ₹4,000/yr (one person) | Business ₹6,800/yr per person | 31 Oct 2026, Canva India |
| Notion | Yes | Plus from US$10/seat/mo | Business from US$20/seat/mo | 31 Oct 2026, Notion |
Two patterns matter more than any single number. First, the ₹399 tier now exists at both OpenAI and Google, which makes a paid pilot cheap. Second, the jump from entry to “Pro” is steep everywhere, so pay for the higher plan only after you hit the entry plan’s limits on real work.
How the finder builds a shortlist
- Task — writing, research, design or organisation weights ChatGPT/Claude/Gemini-class tools vs Canva vs Notion/Perplexity.
- Users — solo pilots favour consumer chat; teams boost shared workspaces and brand kits.
- Budget — free-first elevates free tiers; pay-for-fit surfaces Plus/Pro/Teams-class limits with verify pricing.
- Data sensitivity — client/sensitive mode adds confidentiality warnings and still requires human review on every card.
Every shortlist card labels free vs paid and human review required. Nobody pays to appear in it, and changing one answer shows you how the shortlist shifts.
Jobs the finder does not cover yet
The finder handles four jobs. In practice, Indian small businesses ask me about a handful more. Here is where I would start for each.
| Job | Where to start | What to check | Read next |
|---|---|---|---|
| GST billing and accounting | Your accounting software first; Zoho Books Standard is ₹749/org/mo billed yearly (excl. taxes, 31 Oct 2026) | Chatbots draft explanations; filings stay with your CA | AI for accountants in India |
| WhatsApp customer replies | WhatsApp Business app, then an API provider with an AI agent | Per-conversation charges and opt-in rules | WhatsApp AI chatbot guide |
| Meeting notes | The suite you already use: Microsoft 365 lists Copilot in Teams; Gemini sits inside Google apps | Whether recording consent is in place | ChatGPT vs Gemini |
| Images and short video | Canva for brand sets; ChatGPT or Gemini for first drafts | Usage rights and brand kit | Use the finder with “Design” |
| Code, formulas and scripts | Claude or ChatGPT paid plans | Test on a copy of the sheet, never live data | ChatGPT vs Claude |
| Word, Excel and PowerPoint work | Microsoft 365 Personal or Premium with Copilot | Whether staff use personal or business accounts | SaaS Cost Calculator |
Data-residency / client-confidentiality checklist (India freelancers)
Indian freelancers and agencies often handle client brand assets, contracts, GST invoices and unpublished strategy. Consumer AI is useful — and risky — in that mix. Work through this checklist before you paste anything sensitive:
- Classify the data — public marketing copy vs client-confidential vs regulated (health, finance, legal strategy, children’s data).
- Prefer non-confidential samples for the first two-week pilot; invent or anonymise examples.
- Read training and retention controls on the exact plan you use (free consumer vs team/business).
- Turn off model training / improve the product where the vendor offers an opt-out, and confirm it applies to your workspace.
- Never paste PAN, Aadhaar, payroll files, full contract drafts with commercial terms you have not been cleared to share, bank credentials, or medical records into a public chat.
- Strip identifiers — replace client names, phone numbers and invoice IDs with placeholders.
- Ask where inference runs — many consumer tools process outside India; if a contract needs India/region residency, you need a business plan or a different stack, not a hope.
- Document export and delete — how you download chat history and how you wipe a project when the engagement ends.
- Keep systems of record separate — final numbers, filings and signed PDFs stay in email, Drive/OneDrive, accounting or your CA’s tools.
- Plan for the DPDP Act — if you hold customer personal data, the duties on notice, consent, security and breach reporting apply from 13 May 2027 under the rules notified on 13 November 2025 (see the PIB release). Choose tools now that let you delete and export data.
- Get specialist advice for regulated work; this checklist is editorial hygiene, not legal advice.
What “good enough” looks like for an Indian small team
For many small businesses the useful bar is modest: the tool must accept the languages you actually work in (including Hinglish drafts you will rewrite), keep pricing understandable in INR or clearly documented USD billing, and allow you to turn features off so staff are not pasting client data into a public demo. Ask who owns the output, whether prompts or uploads are used to train models, and how you export or delete history if you leave.
If your work touches invoices, payroll, medical, legal or other sensitive records, treat a consumer chatbot as a drafting aid only. Keep final numbers and filings in the systems of record you already trust, and verify anything compliance-related with a qualified professional.
On languages: test the tool with your own Hindi, Hinglish or regional-language samples before you pay. Quality varies a lot between languages and between tasks, and a draft that reads well in English can come out stiff in Marathi or Tamil. Keep a native speaker as the final reviewer for anything customer-facing.
Cost and lock-in checks before you subscribe
List prices often hide the real bill. Check whether charging is per seat, per generation, per workspace, or a mix. Note renewal terms, what happens when free credits run out, and whether your workflow depends on one vendor’s file format or plugin. A cheaper monthly plan that cannot export your prompt library or brand voice notes can become expensive when you switch.
Prefer a two-week decision loop: define three real tasks, run them in a trial with non-confidential samples, and write down where the tool saved time versus where a human still had to rewrite everything. Then pay for one proven fit — not three overlapping assistants.
Watch where you pay. The same plan can cost different amounts on the website and in the app: we saw Claude Pro at ₹2,399 a month on the web and ₹1,999 through the App Store (reported in our ChatGPT vs Claude comparison). If you need a GST invoice with your GSTIN for input credit, buy on the vendor’s website or business plan, not through an app store.

Useful checks before you act on the result
- Confirm free-tier limits and whether ads or training apply on that plan.
- Open the official pricing URL on each shortlist card — verify at checkout.
- Define who checks facts, originality, permissions and final wording.
- Run the confidentiality checklist if data is client or sensitive.
- Cross-check stack spend in the SaaS Cost Calculator.

AI tool finder FAQ
Which AI tool is best for a small business in India?
There is no universal winner. Start with the task (writing, research, design or organisation), then filter by users, budget and data sensitivity. ScaleSaathi’s finder returns a shortlist with free vs paid labels and a human-review required callout — not a ranking purchased with affiliate weight.
Can freelancers paste client data into ChatGPT, Claude or Gemini?
Not by default. Treat consumer chatbots as drafting aids. Classify the data, read the plan’s training and retention controls, remove identifiers, and keep final contracts, filings and credentials in your systems of record. Use the confidentiality checklist on this page before any client paste.
What does free vs paid mean in the shortlist?
Free tier available means you can pilot without a card on the vendor’s public free plan (limits apply). Paid prices are dated listed prices where known (for example Claude Pro US$20/mo; Google AI Plus ₹399/mo and AI Ultra from ₹6,500/mo on the India subscriptions page, seen 31 Oct 2026) and otherwise say verify pricing. Always verify at checkout.
Why does every result say human review required?
AI output can look polished while still being wrong, incomplete, biased or unsuitable for a client. Facts, originality, permissions, brand voice and compliance still need a responsible person.
Should I chase ChatGPT as the only AI tool?
No. Most “best AI tools” lists are written for a global audience. For India SMB and freelancers, match the job: Canva-class tools for design, Notion-class for organisation, Gemini when you already live in Google apps, and research-first tools when citations matter.
What is on the data-residency / client-confidentiality checklist?
Classify data; prefer non-confidential samples for trials; check whether prompts train models; turn off training where offered; avoid pasting PAN, Aadhaar, payroll, medical, legal strategy or unpublished financials; keep exports and deletion paths documented; use business/team plans when client contracts require them; and get specialist advice for regulated work.
How should an Indian freelancer decide in two weeks?
Define three real tasks, run them on free tiers with non-confidential samples, note where the tool saved time versus where you rewrote everything, check data controls and renewal pricing, then pay for one proven fit instead of stacking overlapping subscriptions.
Is this a lab test or sponsored ranking of AI tools?
No. The shortlist comes straight from your four answers, and nobody pays to appear in it. Links go to official product pages with no affiliate codes, and your answers stay in your browser. Read the affiliate disclosure for how ScaleSaathi handles sponsored links elsewhere.
Which AI tool is better for business: ChatGPT, Claude or Gemini?
It depends on where your work already lives. Gemini fits if your team runs on Gmail and Google Docs, Copilot fits a Microsoft 365 office, and ChatGPT or Claude suit open-ended writing, analysis and code. Compare them in ChatGPT vs Claude and ChatGPT vs Gemini.
What is the cheapest paid AI plan in India?
On 31 October 2026, ChatGPT Go and Google AI Plus were both ₹399 a month in India. Claude has no rupee web plan at that level; Claude Pro is US$20 a month, or US$17 billed yearly. See the price table above.
Which AI subscription is best for personal use?
For one person, start with a free plan and move to a ₹399 tier only when you hit limits. If you already pay for Microsoft 365 Personal (₹689/mo in India), it includes Copilot features in the Office apps, so check that first.
Can AI tools help with GST and accounting?
They help explain rules and draft emails, but returns and books belong in your accounting software and with your CA. Our AI for accountants in India guide covers what is safe to automate.
Can an AI tool reply to customers on WhatsApp?
Yes, through the WhatsApp Business Platform and a provider that adds an AI agent. Costs depend on the provider and on WhatsApp’s per-conversation charges. Start with our WhatsApp AI chatbot guide.
Do these AI tools work in Hindi and other Indian languages?
They accept Hindi and other Indian languages, but quality varies by language and task. Test with your own samples and keep a native speaker as the final reviewer for customer-facing text.
Does the DPDP Act stop me from using AI tools with customer data?
No, but it raises the bar. Duties on notice, consent, security and breach reporting under the DPDP Rules apply from 13 May 2027. Share only what a task needs, prefer business plans with clear deletion controls, and take legal advice for regulated data.
