How to create a business email address with your own domain

Last updated: 21 October 2026

Short answer: To get an address like name@yourbusiness.in:

  1. Own a domain and have access to its DNS settings.
  2. Sign up with an email provider (Zoho Mail, Google Workspace, Microsoft 365 or Hostinger, for example).
  3. Verify the domain by adding a TXT (or similar) record the provider gives you.
  4. Add the provider’s MX records so mail reaches you.
  5. Add SPF, DKIM and DMARC records so your mail is trusted and stays out of spam, then test.

Zoho Mail has a free plan for up to 5 users on one domain. Paid options start from about ₹29 to ₹99 per mailbox a month before GST. Prices checked 21 Oct 2026.

What you need before you start

  • A domain, such as yourbusiness.in or .com. If you don’t have one, see our best domain registrars in India.
  • Login to your DNS panel. This is usually where you bought the domain, or your hosting account. You will add records here.
  • A provider choice (Step 1).
  • You do not need a website. A domain alone is enough for email.

Step 1: Choose an email provider

Choose by: (1) whether you need office apps or only email, (2) total cost for your team, (3) mailbox size, (4) whether you need a free start.

Provider Free option Starting price (excl. GST) Mailbox / storage Good fit
Zoho Mail Forever Free: up to 5 users, 1 domain, 5 GB each; no IMAP/POP/ActiveSync Mail Lite from ₹59/user/month, billed yearly (confirm on Zoho’s India site) 5 GB (free and Mail Lite 5 GB) Small team wanting free or low-cost email
Google Workspace Base No ₹99 listed per user/month, excl. tax (max 20 users) 20 GB pooled per person Teams who want Gmail, Drive and Meet

Google says an annual commitment saves 16%. It also shows an introductory offer on Base (₹49.50 for 3 months from 4 Nov 2026) and on Standard (₹864 for up to 20 users). Treat offers as temporary.

For full prices per provider, see Zoho Mail pricing in India, Google Workspace pricing in India and Microsoft 365 vs Google Workspace. Not sure which? Use the business email provider finder.

Step 2: Verify your domain

The provider needs proof that you own the domain. It gives you a record to add in your DNS panel, usually a TXT record (a short text value). Zoho Mail lets you verify by TXT, CNAME, HTML file or one-click for some registrars (Zoho help).

  1. Copy the value from the provider’s setup screen.
  2. In your DNS panel, add a new TXT record with that value. Leave the host as “@” unless told otherwise.
  3. Save, wait a few minutes, and click “Verify” at the provider.

Step 3: Add MX records

MX records tell the internet which server receives mail for your domain.

  • Google Workspace: one MX record, value smtp.google.com, priority 1. Google says new MX records can take up to 72 hours to be recognised (Google help).
  • Zoho Mail, Microsoft 365, Hostinger: use the exact values shown in your admin panel. Check with the provider.

Delete old MX records from a previous provider, otherwise mail may go to two places.

What happens to my current email? Once the new MX records take effect, new mail goes to the new provider. Move your existing mail first.

Step 4: Add SPF, DKIM and DMARC

These three records prove your mail is really from you. Google requires every sender to Gmail to set up at least SPF or DKIM, and senders of more than 5,000 messages a day to need SPF, DKIM and DMARC (Google sender guidelines).

SPF

A TXT record listing which servers may send mail for your domain.

  • Google: v=spf1 include:_spf.google.com ~all (Google help)
  • Microsoft 365: v=spf1 include:spf.protection.outlook.com -all (Microsoft help)
  • Keep only one SPF record. If one exists, add the new “include” to it instead of creating a second.

DKIM

A digital signature on each email. Your provider generates a key; you add it as a TXT record. Google recommends a 2048-bit key (1024 if your DNS host can’t handle the longer one) with the default selector “google” (Google help). After adding it, switch DKIM on in the admin panel.

DMARC (start with p=none)

A TXT record at _dmarc.yourbusiness.in that tells receivers what to do if SPF/DKIM fail. The policies are p=none (just monitor), p=quarantine (send to spam) and p=reject (block) (RFC 7489; Google help).

Start with:
v=DMARC1; p=none; rua=mailto:dmarc@yourbusiness.in
Read the reports for a few weeks, then move to quarantine once your real mail passes.

Step 5: Test sending and receiving; propagation time

  1. Send mail from the new address to a personal Gmail and back.
  2. In Gmail, open the message, choose “Show original”, and check SPF, DKIM and DMARC say PASS.
  3. If mail doesn’t arrive, wait. Google says MX changes can take up to 72 hours.

Free business email with your own domain: what’s possible and the limits

  • Zoho Mail Forever Free: up to 5 users on one domain, 5 GB each. It does not include IMAP, POP or ActiveSync, so you use Zoho’s web and mobile apps rather than Outlook or the phone’s built-in mail app. Zoho says it is available only in select data centres. On paid plans, every user is billed.
  • Forwarding only: some registrars and hosts forward mail sent to your domain to a personal inbox. You can receive, but replies may show your personal address. Check with your registrar.
  • Gmail with your own domain: for proper sending and receiving as your domain in Gmail, you need Google Workspace (paid).

Using Gmail with your own domain

Free Gmail has a “Send mail as” setting for sending from another address. Do not rely on it for business email. Google says that from January 2027, Gmail will no longer support “Send as” for non-Google accounts, and that it will restrict new setups of this feature before then. Gmailify and POP fetching (“Check mail from other accounts”) also end in January 2027 (Google help; Google help).

For a domain address that works in Gmail, Google’s documented route is Google Workspace (Base is ₹99 listed per user/month, excl. tax). If you prefer another provider, you can still forward its mail to Gmail, or use its own apps.

Cost for 1, 5 and 10 mailboxes

Yearly cost, worked out from each listed price. GST: providers say tax is extra; the 18% column assumes 18% applies, so confirm it on your invoice.

Provider and plan 1 mailbox 5 mailboxes 10 mailboxes 10 mailboxes, if 18% GST
Zoho Mail Forever Free ₹0 ₹0 Paid plan needed: Mail Lite 5 GB, 10 × ₹59 × 12 = ₹7,080 Check Zoho’s tax line

Google Workspace Base (₹99 listed per user/month) ₹1,188 ₹5,940 ₹11,880 ₹14,018.40
Google Workspace Starter (₹270 listed per user/month) ₹3,240 ₹16,200 ₹32,400 ₹38,232
Microsoft 365 Business Basic (₹170/user/month, paid yearly) ₹2,040 ₹10,200 ₹20,400 ₹24,072

Notes:

  • Hostinger’s ₹29 is a sale price on a 48-month term, paid upfront (₹1,392 per mailbox for 48 months before GST). It renews at ₹69 a month, which is ₹828 a year per mailbox. Hostinger also shows a “buy 2, get 1 free” offer.
  • 5 mailboxes with 18% GST: Hostinger ₹2,053.20; Google Base ₹7,009.20; Google Starter ₹19,116; Microsoft 365 Business Basic ₹12,036.
  • Google figures are listed prices per user/month, excluding tax. Check the final amount for your billing choice at checkout.

Choose…

  • Zoho Mail Free if you have 5 or fewer people and can use Zoho’s apps without Outlook/IMAP.
  • Google Workspace if your team works in Gmail, Docs and Drive.
  • Microsoft 365 if your team relies on Outlook, Word and Excel.
  • Hostinger email if your website is already on Hostinger and you send low volumes. See Hostinger email plans (affiliate link)

What users commonly report

Based on public reviews (paraphrased, summarised 21 Oct 2026):

  • Zoho Mail: users commonly report low cost, an ad-free inbox and good value against Google Workspace. Common complaints: DNS setup feels hard for beginners, some delivery and spam-filter issues, mobile sync lag, and no IMAP/POP on the free plan.
  • Google Workspace: users commonly praise easy setup, the familiar Gmail screen and document collaboration. Complaints focus on price increases, extra storage costs, and difficulty reaching human support on billing issues.
  • Microsoft 365: users commonly praise the full Office apps and Teams. Complaints focus on confusing licensing, scattered admin portals, and slow support; plans bought through a reseller are sent back to that reseller for help.
  • Hostinger email: feedback specific to email is limited. A few users report business mail going to spam and mailbox suspensions after spam reports. Company-wide reviews often praise Hostinger support, but those cover hosting more than email.
  • Rediff Workmail: reviews are few. Users mention an Indian provider with INR pricing, but also a dated app and slow support.

No. You need a domain and access to its DNS settings; the setup steps from Google and Zoho don’t require a website.

How long do MX records take to work?

Yes, with Google Workspace (paid; Base is ₹99 listed per user/month, excl. tax).

Which is cheaper for 5 users: Zoho Mail, Google Workspace or Microsoft 365?
