Short answer: a cash receipt (also called a payment receipt) is written proof that you received money. The free Excel, Word and PDF files below give a blank layout and a filled ₹ part-payment example (invoice total − received = balance, amount in words, mode + reference). They are educational templates — not a prescribed CBIC blank, not a tax invoice, and not a cash memo.
Educational information only. This page is general guidance for Indian small businesses, freelancers, counters and students. It is not tax, legal or stamp-duty advice and it is not a substitute for a chartered accountant or current official sources. Rules and forms change; verify before you file, pay, stamp or sign.
Related guides: this page is about the receipt document (proof that money was received). Use the cash book format for the running cash/bank register, the GST invoice format for the supply invoice, and the ledger format for party balances. Rent / HRA proofs belong on the rent receipt generator. A cash memo (bill for a cash sale) is a different document from a payment receipt. For the other direction, money you pay out, use our payment voucher format.
Download the cash / payment receipt format (Excel, Word, PDF)
The free files include a blank payment/cash receipt and a filled part-payment ₹ packet. There is no WhatsApp, email or phone gate. This version does not ship a separate GST Rule 50 advance-voucher sheet — Rule 50 is taught carefully in prose below.

These are free ScaleSaathi educational templates, not prescribed government forms and not stamp-duty advice. The example business (Nalanda Office Supplies), customer (Shanti Clinic), invoice INV-2847, receipt CR-118 and UPI ref are fictional. The GSTIN pattern in the filled sheet is a clearly fake placeholder. Keep your real source documents separately.
What is a cash receipt format? (and what it is not)
A cash receipt format is the layout of an acknowledgement that money was received — in cash, UPI, NEFT/IMPS, cheque, card or another mode. Indian shops also say payment receipt, money receipt or simply “receipt”. Accountants treat it as a source document: after you issue it, you post a receipt entry in the cash book and update the party’s ledger.
A useful receipt format answers five questions: who received the money; from whom; how much (figures and words); how it was paid (mode + reference); and against which invoice(s) — plus what balance remains.
What a cash / payment receipt is not
| Not this | Why |
|---|---|
| A GST tax invoice | Invoice documents the supply and tax; receipt documents payment |
| A cash memo | Cash memo = bill for a cash sale; receipt = acknowledgement of money received (often against an invoice already raised). Do not mash the two. See the free cash memo format guide |
| A cash book | Cash book is the running register; the receipt is one source document that feeds it |
| A ledger | Ledger holds account-wise ₹ balances |
| A proforma or quotation | Pre-sale offers, not payment acknowledgements |
| A rent / HRA receipt | Use the rent receipt generator for landlord–tenant proofs |
| A prescribed government blank | GST does not publish one compulsory printable blank for everyday payment receipts against invoices already raised |
| A Rule 50 receipt voucher | GST advance document with prescribed particulars — different from an ordinary payment receipt |
Cash receipt vs payment receipt vs invoice vs cash memo
| Document | Job | Typical moment |
|---|---|---|
| Cash / payment receipt | “We received ₹X by mode Y against invoice Z; balance = …” | After (or with) payment |
| Tax invoice | Documents taxable supply and tax | At supply (per GST timing) |
| Bill of supply | Composition / exempt where tax invoice is not used | At supply (as applicable) |
| Cash memo | Bill for a cash sale | At the cash sale |
| Rule 50 receipt voucher | Evidences advance before supply | On advance (registered persons) |
| Rule 51 refund voucher | Advance returned; no supply / no tax invoice | On refund of that advance |
| Rent receipt | Landlord acknowledgement for rent / HRA | Rent payment |
Payment receipt format is owned here as the mode-flexible twin of “cash receipt”: same fields, with mode = UPI / NEFT / cheque / card as needed.
Fields every useful receipt should carry
| Field | Why it matters |
|---|---|
| Receipt serial + date | Traceability; own series per FY |
| Business name / address (+ optional GSTIN) | Who received the money |
| Received from | Who paid |
| Amount (₹ figures) | Exact sum on this document |
| Amount in words | Must match figures |
| Mode + reference | Cash / UPI / NEFT / cheque no. / UTR |
| Invoice(s) applied | Which bill(s) this money settles |
| Full / part / on-account | Clarity for the party ledger |
| Balance due | Invoice total(s) − amount received |
| Signature / stamp | Authentication |
| Optional revenue-stamp box | Reminder only — confirm state Stamp Act with your CA |
Numbering hygiene (good practice): keep a receipt series separate from your tax-invoice series. Cancel voided numbers; do not reuse. Keep an office copy with the invoice file.
Worked ₹ example: part payment against an invoice
Fictional facts (also in the Excel / Word / PDF packet):
| Item | Value |
|---|---|
| Supplier | Nalanda Office Supplies, Bengaluru |
| Customer | Shanti Clinic |
| Tax invoice | INV-2847 dated 10 Oct 2026 |
| Invoice total | ₹25,960 |
| Receipt | CR-118 dated 15 Oct 2026 |
| Amount received | ₹15,000 by UPI (ref UPI-X9K4M2, fictional) |
| Amount in words | Rupees Fifteen Thousand Only |
| Balance due | ₹10,960 (= 25,960 − 15,000) |
This acknowledges a part payment against an invoice already issued. It does not replace INV-2847 and it is not a Rule 50 advance voucher. Print or save customer + office copies; post ₹15,000 in the cash book and update the ledger.
Advances and GST receipt vouchers (Rule 50)
Under CGST Act section 31(3)(d), a registered person who receives advance payment with respect to a supply shall issue a receipt voucher (or other prescribed document) evidencing that payment. CGST Rule 50 lists particulars including supplier GSTIN, serial (≤16 characters, unique per FY), date, recipient details, description, amount of advance, tax rate and tax amount, place of supply for inter-State supplies, reverse-charge flag, and signature.
Rule 50 proviso: if the rate of tax is not determinable at advance, tax is paid at eighteen per cent; if the nature of supply is not determinable, treat it as inter-State. Primary text: Rule 50 · section 31. CBIC’s Invoice Rules HTML restates the same particulars — cite Rule 50, never “Rule 5”.
If a receipt voucher was issued but no supply is made and no tax invoice is issued, section 31(3)(e) allows a refund voucher under Rule 51. If a tax invoice was already issued, a credit note path may apply instead — ask your CA.
Goods vs services advances (soft): GST Council educational material notes that Notification 66/2017 eased GST on advances for many non-composition goods suppliers, while service suppliers are generally still expected to account for GST when the advance is received. Confirm the live notification stack with your CA. A Rule 50 voucher may still be required under s.31(3)(d) even when tax timing differs.
Cash vs UPI, cheque and bank transfer
| Mode | Receipt tip |
|---|---|
| Cash | Write “Cash”; amount in words; mind the high-value cash limit |
| UPI | Mode = UPI; paste UTR / UPI reference |
| NEFT / RTGS / IMPS | Mode + bank UTR |
| Cheque / DD | Cheque number + bank; mark subject to realisation until cleared |
| Card | Auth / RR number if available |
After the receipt exists, post the movement in your cash book (cash vs bank column). This page does not expand into bank reconciliation.
Revenue stamp and the ₹2 lakh cash limit (careful)
Revenue stamp (soft — state variation): Indian Stamp Act Schedule I Article 53 deals with duty on a receipt. Central materials show duty of one rupee when chargeable. Exact thresholds and state amendments vary — confirm with your CA. ScaleSaathi templates include an optional stamp box as a reminder, not legal advice.
High-value cash (educational): under the Income-tax Act, 2025 section 186 (from 1 April 2026), no person shall receive ₹2,00,000 or more — in aggregate from a person in a day, or for a single transaction, or for transactions relating to one event or occasion — except through prescribed modes (account payee cheque / draft, electronic clearing, other prescribed electronic modes). Older materials still say section 269ST (1961). The Assessing Officer may impose a penalty equal to the sum received (commonly discussed as s.451 / historically s.271DA). Confirm with your CA before accepting large cash.
How to number and file receipts
- Maintain a receipt series per financial year.
- Do not share that series with tax invoices.
- Voided receipts: mark CANCELLED; do not reuse the number.
- File office copies with the related invoice / party folder.
- Retention: keep receipts with the books your CA advises; GST records have their own clock under CGST section 36 — ask how vouchers fit.
Mistakes that make a tidy receipt unreliable
- Figures only — no amount in words (or words that do not match).
- No invoice reference.
- Same serial series as tax invoices.
- Final receipt before a cheque clears.
- Using a receipt as a fake GST invoice.
- Calling a cash memo a payment receipt (or the reverse).
- Skipping Rule 50 thinking on service advances when GST-registered — ask CA.
- Accepting ₹2 lakh-class cash without checking the mode-of-receipt rule.
- Altering totals with whitener — cancel and reissue.
- No office copy.
When a spreadsheet pad is enough — and when billing software helps
Printed pads or these templates suit modest volume and one issuer. Move to billing / accounting software when serials collide across counters, invoice outstanding must auto-calculate, or invoice + receipt + ledger must stay in one system.

Frequently asked questions
What is a cash receipt format?
The layout of an acknowledgement that money was received — serial, date, parties, amount in figures and words, mode + reference, invoice applied, balance, signature. Downloads above give blank and filled INR examples.
Is a payment receipt the same as a cash receipt?
Yes, for most small businesses they are the same document. “Payment receipt” stresses that mode may be UPI/cheque/bank, not only currency notes.
Is there a compulsory GST format for ordinary payment receipts?
No compulsory printable blank for everyday receipts against invoices already raised was identified in the primary sources checked for this guide. Rule 50 prescribes particulars for a receipt voucher on advance — a different document. Ask your CA for edge cases.
What is the difference between a cash receipt and a cash memo?
A receipt acknowledges money received. A cash memo is a bill for a cash sale. Keep them separate. Looking for the bill for a cash sale? Use the free cash memo format (Excel, Word, PDF).
What fields should a receipt include?
Serial, date, business details, received-from, amount in figures and words, mode + reference, invoice(s) applied, full/part/on-account, balance due, signature; optional revenue-stamp reminder after CA advice.
How do I show a part payment?
List the invoice total, the amount received on this receipt, and the balance due (total − received). See the worked ₹15,000 / ₹25,960 example.
Do I need a revenue stamp on every receipt?
Not automatically. Stamp duty on receipts is governed by stamp law (Article 53 discussions plus state amendments). Confirm with your CA. Templates only offer an optional stamp box.
Can I accept ₹2 lakh or more in cash?
Income-tax mode-of-receipt rules restrict receiving ₹2,00,000 or more in cash / impermissible modes from one person in a day / one transaction / one event or occasion (Income-tax Act, 2025 s.186; historically s.269ST). Use prescribed modes. Confirm exceptions and penalty exposure with your CA.
What if I take an advance before supply?
If you are GST-registered, s.31(3)(d) and Rule 50 may require a receipt voucher with prescribed particulars — not only an ordinary payment receipt. Goods vs services tax timing can differ by notification — ask your CA.
Are ScaleSaathi downloads prescribed government forms?
No. They are free educational templates without a sign-up wall. They are not CBIC-prescribed blanks, not stamp-duty advice, and not a guarantee of statutory compliance.
